Office Manager/Bookkeeper

Job Overview: The Office Manager will have overall administrative responsibilities related to day-to-day operations for a contract manufacturing firm.

 

Position Type/Expected Hours of Work:  This is a full-time position.  Days and hours may vary depending on production schedule. Normal work schedule is Monday-Friday, 8:00am to 5:00pm.

Reports To:  Controller

Responsibilities and Duties

The essential functions include but are not limited to the following:

·       Accounts Payable - accurately track and record incoming invoices and reconcile vendor accounts.

·       Shipping and Accounts Receivable – accurately process daily shipments and invoice customers

·       Confer with all departments as needed and produces reports when necessary

·       Assist Program Manager in quoting new projects and maintain direct communication with customers with regards to quotes, new orders, and existing orders.

·       Overall general office management duties including procurement of office supplies, general shop supplies, answering phones, filing, etc.

Required/Desired Education and Experience

·       Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology.

·       Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.

·       Knowledge of raw materials, production processes, quality control, costs, and other techniques for maximizing the effective manufacture and distribution of goods.

Minimum Qualifications (Knowledge, Education, Skills and Abilities)

·       High School diploma or GED preferred, or equivalent combination of education and experience.

·       At least 3 years in manufacturing environment

·       Proficient in Excel, Sage/Peachtree experience a plus

Physical Demands:  The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.  

While performing the duties of this job, the employee is regularly required to sit, stand and walk. The employee is occasionally required to lift up to 35  lbs. and do light grasping.  The employee may occasionally reach above shoulder height.

Compensation:  Pay is commensurate to experience and education. Starting range for those that meet minimum requirements: $35K to 40K/year.
